The Role

To work with a Senior Commercial Administrator to ensure that the commercial adjustment / closure and invoicing of work activities delivered for clients is processed in an efficient and timely manner.

Principal Accountabilities:

  • Verifying / Modifying Sub-contractor requests for additional cost recovery over and above the agreed rates for an activity. (Departure From Estimate process)
  • Submitting DFE’s to the client for approval
  • Resolving DFE rejections with the client and sub-contractors
  • Preparing and processing invoiced costs to the client
  • Preparing information to allow sub-contractor payments to be processed
  • Preparing information for use in the internal monthly financial accounting processes
  • Providing wider support to the planning and scheduling team during periods of absence
  • Any other ad-hoc administrative support required by the Planning and scheduling team.

The Person

Qualifications

  • Educated to Standard Grade/National Grade 4 level (English and Mathematics pass required)

    To be supplied by the company post-engagement:

  • Mandatory business eLearning courses
  • First Aid at Work
  • Use of bespoke work management IT systems

Knowledge & Experience

Required:

  • General business administration experience
  • Using standard MS Office software

    Desirable

  • Understanding of basic commercial administration processes and terminology
  • Working in a work planning / control centre environment
  • Using bespoke work planning / management software

Experience of administrating contracts for field-based manual / light engineering sub-contractors.

  • Good communication skills – in person, on telephone and written
  • Strong organisational skills
  • Good numeric skills
  • Adaptability and willingness to support business processes outside core role.
  • Able to work in a fast paced and often high-pressure environment
  • Ability to manage workload effectively and prioritise accordingly
  • Willingness to learn new skills and adapt with the role
